The next step will be to decide what sort of event you wish to put on.  You may choose to put on a traditional disco or alternatively you may decide it a good idea to go to a posh restaurant.  Once you have settled on a suitable idea the next step is to make up a shortlist of potential venues where you will be able to host the event.  When you are calling round these venues it is of course important that you keep your budget in mind.  Find out what facilities the venue has available and whether they match up to your requirements.  It is also worth asking what time the venue will be open to.  One of the most important elements to consider is the location of your venue as if it is remotely located then this may make it difficult for people to attend.  Try to hire a venue that is in the centre or outskirts of a major town – that way you will know that access is suitable and that there will be an abundance of hotels available in case some of your attendees need to stay overnight.

The next part to consider is the decide what sort of entertainment you want.  This is especially important if you are planning a disco.  If you are booking a band then you will also need to think about additional elements such as stage lighting or PA systems.  This will also be the case if you are looking to hire a DJ to put on the party.  As with booking the venue, when booking your entertainment it will be worthwhile asking whether the acts are able to supply their own audio visual equipment as this will be one less thing for you to organise.

Once you have the basics of your event sorted, all that remains is to publicise the party!  For this you may wish to send an email round the office or put up posters.  Whatever you do, make sure you start to advertise as early as possible to maximise the chances of people attending!

How To Set Up Video Conference Equipment

Before you start video conferencing, make sure that you have all the equipment that you are likely to need out in front of you.  Obviously you will need a working internet connection and power sources ready to hand.  It will always be worth having a backup plan in the event that you cant find a plug socket nearby.  This may take the form of an extension cable to reach to a plug a little further away or an appropriate battery pack.

You should educate yourself so that you are aware of common problems which you are likely to face and how to correct them if they occur.  Complications you are likely to encounter are things such as audio visual equipment not being correctly connected to the power source, input and ourput devices not being properly connected, speakers with insufficient volume or cameras not being corrected.  In the case where the computer being used for the video conference is on an office network you may encounter the situation where it has been configured with an incorrect IP address.  This is unlikely, however it is always worth bearing in mind.  If you make a note of all these potential problems and check them beforehand you will minimise the risk of anything going wrong once you start your video conference.

Make sure that everyone involved in the video conference has had a chance to test the equipment and that they can be seen as well as heard.  It is at this point that you will want to perform an audio test to ensure that there is no feedback or unwanted echoes that are likely to distort the sound and compromise the quality of the audio signal.  Similarly you should check the volume to make sure that it is not too loud or quiet.  Likewise this would also be an appropriate moment to test the video signal as it will of course be important that any images seen should be as clear as possible.

Once all your equipment is set up and you are ready to start your first video conference, try to keep the meeting appropriately short because if you feel obliged to stretch the meeting out as long as possible you run the risk of the parties involved becoming bored with the net result being that nothing actually gets achieved!
